System requires a password change

Find out why the system asks you to change your password after logging in, how to complete the required password change in HRnest, and what to do if you do not remember your previous password.

Written by Malwina Gregorczyk

If you see a prompt to change your password after logging in, it usually means that your organization requires passwords to be updated regularly. This setting is managed by an administrator and may require you to change your password after a certain period of time.

💡 First time logging in?

If you see the password change window during your first login, you are most likely using a temporary password assigned to your new Employee account. To keep your account secure, you will need to create your own password before continuing. This step is required and cannot be skipped.

⭐ Changing your password

To create a new password, fill in all required fields:

  • in the Current password field, enter the password you currently use,

  • in the New password field, enter your new password,

  • in the Confirm new password field, enter the same password again.

Your new password must be at least 8 characters long and contain lowercase and uppercase letters, numbers, and at least one special character. Depending on your organization's security settings, the administrator may require a longer minimum password length.

⚠️ Do not use the following characters in your password: _, <, >.
These characters are not supported for security reasons. If your password contains any of them, the system may reject it.

⭐ Troubleshooting issues

If you run into any issues while changing your password or have trouble logging in afterward, the sections below cover the most common causes and solutions to help you regain access to your account.

1️⃣ I can't remember my current password

If you cannot remember the password you were using before the change, simply log out of the system and select the I forgot my password option on the login page to set a new one.

No email address assigned to your account? Contact your HR Department

You can use the I forgot my password option only if an email address is assigned to your Employee account. If no e-mail address is linked to your account, contact your HR Department – they can set a new password for you.

To go to the login page, click your login in the upper-right corner of the screen and select Log out from the drop-down menu:

On the login page, click Forgot password, and then enter your login.

We'll send a password reset link to the e-mail address associated with the login you entered. Follow the link to create a new password without needing to enter your current one.

Didn’t receive the email? Check the following:

  • you entered the correct login in the form
(your login may be different from your email address)

  • the message is not in your Spam or Junk folder

  • emails from system@hrnest.io are not blocked by your email provider or company settings

2️⃣ I can't log in after changing my password

If your password has been changed but you still cannot log in to the system, wait a few minutes and try again. Sometimes it may take a moment for the password update to be applied.

Before your next login attempt, check whether:

  • you are entering the correct login,

  • there are no extra spaces in your login, especially at the beginning or end,

  • you are entering the new password, not the previous one,

  • Caps Lock is not enabled – letter case matters,

  • the password is entered exactly as it was during the password change,

  • the password does not contain unsupported special characters: _, <, >.

If you're still unable to log in, try resetting your password using the I forgot my password option on the login page. If that isn't possible because no e-mail address has been assigned to your account, reach out to your HR Department or your company's system administrator for assistance.
