HRnest allows absence requests to be cancelled or rejected at different stages, depending on the system configuration and the type of account performing the action.
⭐ Employee
The request is at the first approval stage
If the request was created by the employee and has not yet been approved by the next person in the approval workflow, it can be cancelled directly from the Employee account. This option is available in the details of the selected request under Absences > List of requests:
The request has already been approved
If the request has already been approved, the employee cannot reject it themselves. However, they can submit a cancellation request (depending on the system settings, this request may be sent to either the Supervisor or the HR Department).
To submit a cancellation request, go to the request details via Absences > List of requests:
Find the button that allows you to send a cancellation request:
⚠️ Depending on the system configuration, the cancellation request will be forwarded to:
The Supervisor
The HR Department
The Supervisor first, and then the HR Department
⭐ Supervisor
The request is awaiting the Supervisor’s approval
A Supervisor can reject an absence request submitted by their direct reports when it reaches them for approval.
👀 Depending on the system configuration, in longer approval workflows involving a Second-Level Supervisor, they may be able to reject the request even while it is still awaiting approval from the First-Level Supervisor.
To reject a request, first go to its approval page via Absences > List of requests:
From there, the Supervisor can reject the request.
⚠️ Approval or rejection actions can also be performed in bulk. See how to do it ➡️
⭐ HR Department
HR Department accounts can cancel a request at any stage, regardless of whether it has already been fully approved.
The request has already been fully approved
If the request has completed the entire approval workflow, the HR Department can reject it from Absences > List of requests.
Clicking the button will open the request details. Make sure you have selected the correct request to be cancelled, then click Reject.
The request has not been fully approved
If the request has not been approved by the previous approvers in the workflow, the option to reject it will be available from the request details:
The rejection option becomes available after clicking Go to the confirmation page:
⚠️ Approval or rejection actions can also be performed in bulk. See how to do it ➡️
