Staff Requests Configuration

Learn how to add a new staff request type and edit existing ones. Personal requests let employees submit HR-related requests directly to HR, such as benefit enrollment or changes, employment verification letters, personal information updates, etc.

In HRnest, you can manage more than just leave and absence requests. In the Personal File module, you can also create your own staff (personal) request types that Employees can submit directly to HR.

For each request type, you can define the fields employees need to complete when submitting their request.

šŸ’” When is this useful?

This option is useful for handling everyday HR requests that aren't related to leave or absences, such as:

  • enrolling in or requesting changes to employee benefits,

  • requesting an employment verification letter or certificate,

  • applying for company-sponsored allowances, reimbursements, or welfare benefits,

  • requesting reimbursement for work-related expenses, such as prescription glasses,

  • updating personal, payroll, or contact information.

Step 1

From the side menu, go to Configuration, then open the Types of personal requests section in the Personal File Configuration tab.

Step 2

To create a new staff request type, click the plus icon next to the Types of staff requests section.

Step 3

Enter the name of the new request type and select the fields that should be available to the Employee when submitting the request.

You can add fields such as:

  • Subject,

  • For period (date from - date to),

  • Amount,

  • Amount type (net/gross),

  • Address,

  • Mandatory clause.

šŸ’” You can also create a simple request without any additional fields. In this case, employees simply select the request type and add a comment or attachment if needed.

After configuring the fields, click Save.

šŸ’” Want to update an existing request type? Click the three dots in the Actions column and select Edit.

You can also delete a request type from the same menu, as long as it hasn’t been used by any Employee yet.

You can find employee requests waiting to be reviewed under Personal File → Staff requests:
