
In HRnest, there are several calendar visibility options for the leave calendar. Depending on the selected setting, you can allow employees to view the entire company calendar or gradually restrict visibility to their own organization, department, or just themselves. You can also hide absence types so that employees can see that someone is unavailable without knowing the specific reason for the absence.
ℹ️ These calendar settings do not apply to HR accounts – HR users can always see all employees and all absence types, regardless of the configured restrictions.
⚠️ Managers will always be able to see their direct subordinates and their absence types in the calendar, even if those employees belong to a different department or organization.
⭐ Configuration of employee visibility in the calendar
You can configure the calendar visibility settings by navigating to Configuration > Leave configuration > Holiday planning:
From there, click "Change" to choose one of the following visibility options:
Employee can only see themselves
Employee can see their department
Employee can see their organization
Employee can see the entire company
❗ Regardless of the selected visibility setting, managers will always be able to see their direct reports in the calendar.

⭐ Hide absence types in the calendar
You can also choose to hide absence types in the calendar. With this setting enabled, employees will still be able to see that someone in their department or organization is unavailable, but they will not see the reason for the absence. Instead, the entry will simply be displayed as N – Absence.
This option can be enabled under Configuration > Leave Configuration > Holiday Planning:
