Learn about assets in HRnest, how to add a new asset to the Inventory, assign an asset to the Employee, register its return, and where to check its event history.

Assets help you keep information about equipment and other items issued to Employees all in one place – from laptops and phones to keys, access cards, company cars, and software licences. 📦

In this article, we'll guide you through the entire process: we'll show you how to create an asset type, add a specific asset to the Inventory, assign it to an Employee, register its return, and check what happened to it in the past.

This way, you can check at any time not only what you currently have in stock, but also who is currently using a particular asset and what its history is.

⭐ What are assets?

Assets are all items, equipment, and access rights that belong to the company and can be assigned to Employees – e.g. laptops, phones, company cars, keys, access cards, or licences. 📦

In HRnest, you can keep them all in one place and easily check what is currently in stock, who a particular asset has been assigned to, and what happened to it in the past.

To make things easier to organise, assets are grouped by asset type. For example, you can create a Computers asset type and then add specific assets to it, such as a Dell Latitude Laptop or MacBook Air.

Each asset has its own "life cycle" in the system – you can add it to the Inventory, make it available for assignment, assign it to an Employee, register its return, change its status (e.g. to Damaged or In Service), and, if needed, review its previous event history.

📋 How to add, assign, and return an asset

Starting from scratch? Follow the entire process: Create an asset type → Add an asset → Set its status → Assign it (and optionally Return it later).

Already completed part of the setup? You don't need to go through all five steps. You only need to create asset types when necessary, and each specific asset only needs to be added to the Inventory once. Once everything is set up, your day-to-day work will mainly involve assigning assets to Employees, registering their returns, and changing their status in the event of damage or servicing.

1️⃣ Create an asset type

Before you start adding assets, create asset types that will help you organise and categorise them.

Step 1

From the side menu, select Assets, then go to the Types tab and click Add asset type in the upper-right corner:

Enter a name for the asset type. You can also add a description, but this is optional. Click Add.

Step 3

The asset type has now been added and is visible on the list. You can now add specific assets to it.

2️⃣ Add an asset to the Inventory

Once your asset types are ready, you can add specific assets to the Inventory so that you can later assign them to selected Employees.

Step 1

From Assets, go to the Inventory tab and click Add asset in the upper-right corner.

Step 2

Enter the asset name and assign it to a specific asset type. You can also decide whether the asset is unique. If it is, you will also need to give it a dedicated identifier.

For assets that are not unique, providing an identifier is optional.

ℹ️ If an asset is marked as Unique, its identifier cannot be used for any other asset. If this option is disabled, the same identifier can be assigned to multiple assets.

You can also add an attachment and a description to the asset.

Once you've entered all the necessary information, click Add to add the asset or Add and repeat if you want to add more assets right away.

⚠️ A newly added asset will have the Unavailable status. You'll learn how to change its status and assign it to an Employee in the next steps of this guide.

3️⃣ Set the asset status

Before assigning an asset to an Employee, choose the appropriate status for it – for example, whether it is available for assignment, being serviced, or damaged.

Step 1

In the Inventory tab, you can view all added assets, as well as edit them and change their asset type.

There are several statuses you can set for an asset:

  • Unavailable – the asset is currently unavailable for assignment to an Employee. This is the default status assigned when an asset is added to the system.

  • Available – the asset is available and can be assigned to an Employee.

  • Damaged – the asset is damaged and cannot currently be used.

  • In service – the asset has been sent for servicing and is currently being repaired or maintained.

  • Retired – the asset has been withdrawn from use and will no longer be used.

  • Assigned – the asset has been assigned to an Employee for a specified period.

  • Assigned indefinitely – the asset has been assigned to an Employee for an indefinite period.

❗Only assets with the Available status can be assigned to an Employee.

Step 2

You can change the status of an individual asset or change the status of multiple assets at once using bulk actions.

📚 Changing the status of an individual asset

To change the status of an individual asset, click the three-dot actions menu and select Change status.

Here, you can select the appropriate status for the asset and specify the date from which it should apply.

If you want to assign the asset to an Employee, set its status to Available and save the changes.

📚 Changing the status of multiple assets

To change the status of multiple assets at once, select the assets whose status you want to change, and then specify the date from which the new status should apply.

ℹ️ Currently, the bulk status change option only allows you to change the status to Available. More statuses will be added to this option gradually.

4️⃣ Assign an asset

Assign an asset to an Employee to specify who is currently using it and until when.

Step 1

From Assets, go to the Assigned tab and click Assign asset in the upper-right corner.

Step 2

Complete the form. Select the asset and the Employee you want to assign it to. Enter the dates indicating how long the asset should remain in the Employee's possession. You can also choose to assign the asset indefinitely – in this case, you won't be able to specify an end date.

❗If you can't see an asset you've added, make sure its status is set to Available.

You can also add a comment and an attachment, and decide whether the Employee needs to confirm receipt of the asset. If confirmation is required, the Employee will receive a system notification that they will need to confirm.

Finally, click Add to save the changes.

Step 3

The asset will be assigned immediately and will appear on the list. Repeat these steps for any other assets you want to assign to Employees.

5️⃣ Return an asset

Register an asset return when an Employee stops using it so that it becomes available in the Inventory again.

Step 1

From Assets, go to the Assigned tab. Find the asset you want to return, then click the three-dot actions menu. The option to return the asset will be available there.

💡 Can't see the option? Make sure that:

  • the asset isn't assigned to the Employee indefinitely – if it is, edit the assignment and disable this option. You will then be able to register the return.

  • no other event has been added for this asset – check the Events tab to make sure there is no other event for this asset. If there is, delete it before registering the return.

Step 2

Enter the return date. If the equipment is not in working order, you can also mark the asset as damaged – this will prevent it from being assigned to another Employee. You can also add a comment and an attachment if needed.

Once you've entered all the required information, click Return.

🕘 Where to check Asset history?

Every important action performed on an asset is saved in HRnest as an event. This may include assigning an asset to an Employee, returning it, changing its status to Damaged or In service, or adding a note.

This allows you to later review what happened to your assets in the past.

Events

To review operations related to assets, go to Assets → Events.

Each event is displayed as a separate entry. On the list, you can check, among other things, which asset it relates to, what happened, who was involved, and when the operation was recorded.

From the same place, you can also review events related to one specific asset. To do this, use the available filters. You can also export the filtered list to Excel.

💡 When is it worth checking Events?

This section is useful when:

  • you want to check what operations have been performed recently,

  • you are carrying out an asset audit and want to review assignments, returns, or status changes within a specific period, e.g. the current year,

  • you want to filter events related to multiple assets, or one specific asset, by a selected criterion.

Assigning assets

I added an asset, but I can't assign it

First, check its status in the Inventory. A newly added asset may still have the Unavailable status.

If the asset is ready to be issued, change its status to Available. Only then can it be assigned to an Employee. The same applies to assets marked as Damaged, In service, or Retired – these cannot be assigned either. An asset can only be assigned to an Employee when its status is Available.

Can I assign one asset to several Employees?

Not at the same time. One specific asset can only be assigned to one person at a time.

For example, if a laptop is being transferred from one Employee to another, first register its return, and only then assign it to the next person.

Can I assign several assets to one Employee at the same time?

You can assign several different assets to one person, e.g. a laptop, phone, and access card. However, each asset must be assigned separately, using an individual action.

Do I need to specify the date until which the asset is assigned to the Employee?

No. The Assigned to field is optional.

It is worth filling it in if you already know how long the asset should remain with the Employee, e.g. until the end of a project or temporary replacement. If you do not know the date yet, you can leave this field empty.

If the asset is issued indefinitely, e.g. to an Employee hired on a permanent basis, select Indefinitely.

What is the difference between leaving “Assigned until” empty and selecting Indefinitely?

If you simply leave the Assigned until field empty, it only means that no planned end date has been specified at this time.

Choose Indefinitely when you intentionally want to indicate that the asset has been issued without a defined return date. The system treats this as an indefinite assignment and marks it accordingly.

In practice:

  • I don't know the return date yet → leave Assigned until empty

  • the asset is intended to be assigned indefinitely → select Indefinitely

Asset receipt confirmation

Will the Employee receive a notification asking them to confirm receipt of the asset?

Yes. If you select that receipt confirmation is required when assigning the asset, the Employee will receive a notification in HRnest and an email asking them to confirm receipt.

The notification in HRnest remains active until the Employee confirms receipt or the asset is returned.

Can I check exactly when the Employee confirmed receipt?

Yes. In the details under Assets → Assigned, you can see the current confirmation status and, once confirmed, the exact date and time of receipt:

This means you do not have to rely solely on information from the Employee – you can verify the confirmation directly in the assignment details.

Can the HR Department confirm receipt on behalf of the Employee?

No. Receipt can only be confirmed by the person to whom the asset has been assigned.

The HR Department and Supervisor can check whether confirmation is required and whether the Employee has already confirmed it, but they cannot confirm receipt on the Employee's behalf.

Can receipt confirmation be undone?

No. Once the Employee confirms receipt, this action cannot be reversed in the system.

I can't return an asset

If you cannot register a return, check the following:

👉 Are you in the Assigned tab?
Returns are registered from the assigned asset, not from the Inventory.

👉 Can you see the asset on the Assigned list?
If it is not there, its return may already have been registered. Information about completed assignments can be found in Events.

👉 Is the assignment indefinite?
If so, first edit the assignment and disable the indefinite option. You can then specify an end date or leave it empty – after that, the return can be registered.

Can an Employee report an asset return themselves?

No. An Employee can only view assets assigned to them – they cannot register their return in HRnest.

When the Employee physically returns the asset, the return in the system must be registered by the HR Department or another person with the appropriate permissions.

Can I assign the asset to someone else immediately after it is returned?

Yes. If the asset is still in working order after the return, it goes back to the Inventory with the Available status and can be assigned to another person.

If you mark the asset as Damaged while registering the return, it cannot be assigned to another Employee immediately.

Managing assets in the Inventory

The asset has been damaged. What should I do?

It depends on when you notice the damage:

👉 The asset is still assigned to an Employee
First, register its return. When returning it, you can mark the asset as Damaged – once the assignment ends, it will receive this status in the Inventory. You can also add a comment or attachment, e.g. documentation of the damage.

👉 The asset is already in the Inventory
Change its status to Damaged directly in the Inventory. This will prevent it from being assigned to another Employee. If you later send the equipment for repair, you can change its status to In service.

Can I edit asset details after adding it?

Yes. After adding an asset, you can edit, among other things, its name, identifier, asset type, description, and attachments by clicking the three-dot menu next to the selected record in the Inventory tab and selecting Edit.

If you want to change the asset status, e.g. mark it as Damaged or In service, use the separate Change status action in the Inventory. The status cannot be changed while editing the asset's general details.

Can I delete an asset from the Inventory?

Yes, but only if the asset has just been added and still has the Unavailable status.

If the asset has already been made available, assigned, returned, or another operation has been recorded for it in Events, it cannot be deleted. This ensures that the asset's history remains intact.

If the asset should no longer be used, instead of deleting it, you can mark it as Withdrawn by changing its status in the Inventory.

Asset history

Can I check who used an asset in the past?

Yes. To review the assignment history of a specific asset:

  1. Go to Assets → Events.

  2. Filter for the relevant asset.

  3. On the event list, you will see previous assignments and returns.

This lets you check who the asset was previously assigned to and how it moved through the company.

Where can I check the history of a specific asset?

To review the history of a specific asset:

  1. Go to Assets → Events.

  2. Filter for the relevant asset.

This will show events related only to that specific asset, such as previous assignments, returns, or status changes.

Where can I check the history of multiple assets?

You can find the history of multiple assets under Assets → Events.

This section displays changes related to all assets added to the system. You can review assignments, returns, and status changes.
