Additional permissions for managing Assets

Learn how to grant a Manager additional permissions to manage Assets, including creating, assigning, and viewing them.

Not every company has Assets managed exclusively by the HR Department. Equipment, devices, and other company Assets are often handed over to Employees by Managers or people responsible for a specific team.

In HRnest, you can grant such users additional permissions, allowing them to perform selected actions independently – for example, assign Assets, edit assignments, or add and edit Assets.

Below, we explain how the HR Department can grant these permissions and what each option allows the Manager to do.

💡 Who has access to Assets?
Assets can be accessed by the HR Department, Managers, and Employees, but each role has a different level of access. See how their permissions differ ➡️

⭐ Default permissions

Without any additional permissions:

  • an Employee can only see Assets assigned to them,

  • a Manager can see their own Assets and the Assets assigned to their subordinates.

By default, however, this is view-only access. If a Manager should also be able to assign Assets, edit assignments, or manage Assets themselves, the HR Department must grant them additional permissions.

❗ Additional permissions are available only to Managers

If you want someone outside the HR Department to be able to assign or edit Assets, they must have the Manager role. Employees can only view their own Assets and cannot manage Assets assigned to other users.

⚙️ Additional permissions

If viewing Assets is not enough, you can give a Manager a broader range of permissions. Additional permissions allow them to independently create and assign Assets, as well as modify existing assignments.

A Manager can also be granted access to the Assets of Employees who are not their subordinates. You can give them permission to manage Assets for other departments or individual Employees by selecting them from the list under Permissions → For Employee Records in the Manager's Profile.

Additional permissions can be granted to a Manager by the HR Department.

Step 1: Open the Manager's Profile

Go to Organization and find the Manager you want to grant additional permissions to. Click their first and last name to open their Profile.

Step 2: Enable the required permissions

In the Manager's Profile, open the Permissions tab and select the User section.

You will find the following permissions related to Assets:

  • Can assign resources

  • Can edit asset assignments

  • Can add assets

❗ Can't see these options?
These settings are available only for Managers. If you are viewing an Employee's Profile, you will not see the option to extend their Asset permissions. See what Employees can access ➡️

Enable the options the Manager needs. Changes are saved automatically.

💡 Adjust permissions based on what the Manager needs to do

You don't have to enable all permissions. If the Manager only needs to hand out equipment, permission to assign resources is enough. If they also need to make changes to existing assignments, enable permission to edit assignments. If they should be able to create new Assets in HRnest, they will also need permission to add Assets.

Done! 🎉 If the Manager will only manage Assets for their own subordinates, you can stop here.

Step 3: Add Employees outside the Manager's team (Optional ✍️)

If the Manager should also manage Assets for Employees outside their team, you can simply select those Employees from the permissions list.

Go back to the Permissions tab and select For Personal File.

Click the plus [+] icon and add specific Employees or entire departments, then confirm your selection by clicking Add.
