How to add, edit, and manage absence request types

Learn how to add a new leave request type or edit an existing one in HRnest. Find request settings, manage absence request types, and customize them to match your company’s policies and workflows.

In HRnest, you can decide which absence request types are available to Employees and Coworkers. You can add new types of leave or absence, edit the ones already available in your account, and adjust their settings to reflect your company’s internal policies.

In this article, we’ll walk you through where to find these settings and what each option means ⬇️

Managing request types

Step 1

Go to Configuration in the menu on the left-hand side. Then, from the menu at the top of the page, choose Leave configuration and select Types of requests.

Step 2

You’ll see a list of all request types currently available in your account.

To manage one of them, click the three-dot icon on the right-hand side of the selected request type. From there, you can:

  • view its details,

  • edit its settings,

  • remove it from the list of available request types.

Editing an existing request type

To change the settings of an existing request type, click Edit next to it.

This is where you can decide who should be able to use this request type, how its limit should work, whether it should go through the approval process, and more.

Adding a new request type

If you can’t see the request type you need on the list of active ones, you can add a new one by clicking the plus icon.

In the form, choose the request type from the drop-down list and complete its settings, such as contract type, limit type, description, and other available options.

Available request settings

When you edit an existing request type or add a new one, you can configure the options below.

Type of contract

Choose who should be able to use this request type:

  • Employment contract – the request type will be visible only to Employees whose profile is set to employment contract.

  • Other – the request type will be available only to Coworkers or other users working under different forms of cooperation.

You can also select both options at the same time. This will make the request type available to all users, regardless of the contract type assigned in their profile.

Type of limit

Choose how the limit should be assigned for this request type:

  • Individual – each user has their own limit, set directly in their profile or assigned in bulk,

  • Global – all users share the same limit set for the whole organization, for example 20 days per person,

  • No limit – HRnest will track the use of this request type, but there will be no limit on the number of days or hours that can be used.

Depending on the request type, you may also be able to choose whether the limit should be counted in days or hours, and whether it should apply monthly or annually.

❗ Some request types, such as Annual leave, have default limit settings that cannot be changed.

Skip document workflow

Once enabled, requests will be approved automatically as soon as they’re submitted. They won’t require approval from a Supervisor or the HR department and will immediately receive the Approved status.

💡 This is useful for request types that are mainly informational and don’t require approval, such as Absence, which is often used by Coworkers.

Only available to the HR

Once enabled, Employees and Coworkers won’t see this request type and won’t be able to submit it themselves. However, HR users will still be able to submit it on behalf of any eligible Employee or Coworker.

💡 This option is useful for request types that are usually handled by HR, such as Overtime settled.

Parallel issuing with other requests

Turn on this option if users should be able to submit this request type for dates that overlap with other requests. By default, HRnest doesn’t allow multiple requests for the same period, but enabling this option lets different request types be submitted for the same dates.

💡 This is especially useful for Remote work requests. They often serve an informational purpose and should not block users from submitting other requests for the same days.

Description

Add a description if there’s anything users should know before submitting this type of request. You can enter the description in both Polish and English. It will be displayed when users create the request.

💡 This is a good place to add instructions, reminders, or company-specific rules, for example a note that users should add a comment or include additional details.
