How to Add or Update Leave Limits for Multiple Employees

Learn how to add or update leave limits in bulk, assign leave allowances, and update leave entitlements for multiple Employees or Coworkers at once.

Adding or updating leave limits for multiple Employees and Coworkers is quick and easy in HRnest. Simply prepare an Excel file with the people you'd like to update, the date from which the leave limit should apply, and the corresponding leave limit value.

A separate file is required for each leave request type, and you can download a ready-to-use template directly from the system.

Step 1

From the side menu, go to Configuration, expand the Bulk actions section, and select Adding multiple limits.

Step 2

Open the list of available leave request types, select the absence type you'd like to update (for example, Annual Leave), and download the template.

Step 3

Complete the downloaded file:

  • In the Date From [yyyy-mm-dd] column, enter the date from which the leave limit should apply (for example, 2026-01-01 for a leave limit valid throughout 2026).

  • In the Annual Leave Entitlement column, enter the appropriate leave limit (for example, 26 days).

  • In the Of Which: On-Demand Leave [days] column, enter the number of on-demand leave days (for example, 4).

  • The Comment column is optional and can be left blank.

❗ Make sure the value reflects the employee's FTE.

⚠️ Depending on the leave request type, the template may look a little different. Just follow the column names – they'll tell you what information needs to be filled in.

πŸ’‘ Need to add leave limits for previous years as well? No need to create a separate file. Just copy the row for the selected Employee or Coworker, then update the effective date and leave limit value.

Once you've finished, save the file to your device.

Step 4

Choose how you'd like to import the data:

  • Add new limits only – HRnest will add only the leave limits that don't already exist in the system.

  • Add new limits and update existing ones – HRnest will add new leave limits and update any matching limits that have already been added.

Step 5

Select the completed file and click Add.

That's it! πŸŽ‰ Your leave limits have been saved. To verify that everything was imported correctly, open the profile of the selected Employee or Coworker and review their assigned leave limits.
