Competencies – getting started

Employee Competencies in HRnest let you keep information about skills, certificates, training, and permissions in one place. Learn how to add competencies, assign them to Employees, and manage their visibility.

⭐ What are Competencies?

The Competencies section lets you keep information about Employees’ additional skills, qualifications, and permissions in one place. New competencies are created and assigned to Employees by the HR Department.

You can use this section to track different types of information that are useful in your organization’s day-to-day work – for example foreign language skills, completed courses and training, driving licences, professional certificates, technical permissions, or knowledge of specific tools and software.

With filters, you can quickly check not only which competencies a selected Employee has, but also who in the company has a specific skill, qualification, or permission. This is especially useful when you need to find people with the right qualifications without digging through CVs, notes, or spreadsheets.

⭐ How does it work?

Start by creating competency groups – you can add your own or use the predefined groups available in HRnest. Groups help you organize competencies by topic, role, area, or type of qualification.

Then, add the specific competencies used in your organization. For each competency, you can also add extra details, such as:

  • expiry date – useful when a competency, permission, or certificate is valid only for a specific period,

  • rating from 1 to 5 ⭐ – if you want to mark the Employee’s level in a given competency,

  • attachment – if you have a file confirming the competency, such as a certificate, confirmation document, or proof of completed training.

This way, competencies become more than just a simple list of skills – they can work as a practical database of Employees’ qualifications.

🔎 Who can see competencies?

Each Employee can see the competencies assigned to their own account in Personal file → Competencies. They cannot view competencies assigned to other Employees.

If you do not want Employees to see their competencies in the system, you can turn this visibility off completely in Configuration → Personal file configuration → Settings.

By default, Supervisors also see only the competencies assigned directly to them. You can, however, give them access to the competency list of their direct reports. To do this, enable Show a list of competencies to the supervisor in Configuration → Personal file configuration → Settings.

Once enabled, Supervisors will be able to check which skills, permissions, and certificates their team members have – without having to ask the HR Department for additional reports.
